Admin & HR - What should I do when a staff member leaves?

Created by Teresa Fouche, Modified on Thu, 24 Apr at 11:36 AM by Teresa Fouche

When a staff member leaves, their profile should be marked as Inactive in the portal and not deleted.

Here’s why this is important:

  • Training and compliance records are retained for audit purposes and future reference.

  • Inactive users no longer have access to the system, but their data remains safely stored.

  • If the employee returns or joins another Better Compliance client, our support team can easily transfer their profile and training records, saving time and avoiding duplicate work.

? Never delete a user, as it removes their records from the active system and makes them harder to recover. While our Technical team can restore deleted data if needed, the process can be time-consuming. Keeping users marked as Inactive is a faster, safer way to retain important training and compliance history for audits, legal needs, or possible re-employment.
