Admin & HR: How to inactivate a user in Training Tracker

If a staff member has left your business or no longer requires access to the system, you can easily mark them as inactive. This will revoke their access while securely retaining their training records for future reference or transfer.


Steps to Inactivate a User:


1. Log in to Better Compliance and select Training Tracker from the portal list.

2. In the Training Tracker dashboard, go to the HR section where all user profiles are stored.

3. Scroll through the user list or use the search bar to find the user you wish to inactivate.

4. Click on the hamburger menu (three lines) next to the user’s name.

5. Select Edit.

        


6. You will be taken to the user details. Go ahead and uncheck the box labelled "is active"


7. Click Save at the bottom of the page, after you've unchecked the box. 




✅ The user will now appear in the Inactive Users section. 




Important Notes:

  • Inactive users will no longer have access to the Training Tracker portal.

  • Their profiles and training records are securely stored in the background, allowing reactivation if they return to your business or move to another client using Better Compliance.

  • Do not delete users - marking them as inactive ensures their data is retained and transferable if needed.


For Site Managers or Supervisors:

  • If the user was a Manager, please note they may still be listed in:

    • Training distribution emails (e.g. notifications of course completions).

    • Daily Records emails in Report Support (if you selected to inactivate users in this portal).

➡️ To ensure all communication is updated accordingly, please notify Better Compliance when a Manager leaves the business or no longer requires access, so we can remove them from email distribution lists and system alerts.
